The problem in healthcare and wellness practices
Independent practices, from chiropractic and physical therapy to dental, med spa and counseling, run on a full schedule and a front desk doing three things at once. That's where revenue slips:
- New-patient calls go to voicemail. The phone rings during a check-in or an insurance call. A prospective patient who reaches voicemail often calls the next practice on the list.
- No-shows leave holes nobody fills. An 8 a.m. cancellation for a 10 a.m. slot is fillable if someone works the waitlist right away. Usually nobody has time.
- Recalls and reactivation slide. Patients due for a recall visit, or who stopped a care plan partway through, rarely get a timely nudge. The list grows quietly.
- Intake happens at the counter. Clipboards slow check-in and create data entry after the visit.
- Review requests are inconsistent. The ask depends on whoever's at the desk.
Every one of these involves patient communication, which carries privacy obligations under HIPAA and often state law.
What we build for healthcare and wellness practices
- AI call answering for administrative calls. A voice agent trained on your hours, locations, services, insurance networks you accept and new-patient process. It books or requests appointments, takes messages and transfers or alerts staff. It's scripted to avoid clinical questions entirely and to direct emergencies to 911.
- Missed-call text-back. When a call goes unanswered, the caller gets a short text offering to schedule, so a busy moment at the desk doesn't cost a new patient.
- Appointment reminders and confirmations. Minimal-content reminders by text and email with confirm and reschedule options, built around your visit types and lead times.
- No-show and cancellation recovery. When a slot opens, patients on a waitlist get an offer to take it, first reply wins, and the schedule updates.
- Recall and reactivation sequences. Messages to patients due for a recall visit or who haven't been back in a set period, written without clinical detail and timed to your own protocols.
- Pre-visit intake links. New patients receive a secure intake link before their first visit, so check-in isn't spent on clipboards.
- Review requests after visits. A short, consistent request after appointments, without incentives and without any reference to the reason for the visit.
How it works
- Audit. We map your phone, scheduling and follow-up flow and identify where front-desk time goes and where patients drop off.
- Design. We script agents and message content with you, including what they must never say and where they hand off to staff. This is also when your compliance advisor should review vendors and agreements.
- Build and connect. We connect automations to your phone system, calendar and CRM.
- Tune and support. We review real interactions for the first 60 days and adjust scripts, timing and handoffs.
RGS does not provide legal or compliance advice and doesn't certify any tool as HIPAA compliant. That determination belongs to your practice and its advisors.
What to look for (even if you don't hire us)
- Will the vendor sign a BAA? Ask every vendor that would handle patient information, and have your compliance advisor review the answer.
- Who can see the data? Ask about access controls and logs.
- What happens with a clinical question? Ask to see the handoff live.
- How is an emergency handled? The script should direct callers to 911 and alert staff, every time.
- Can you control message content? You should approve every reminder and recall template.
- Is texting registered? US business texting runs through A2P 10DLC registration as of 2026. Ask who handles it.
- Can patients opt out easily? Every text needs a stop option.
