The problem in healthcare and wellness practices

Most independent practices already pay for an EHR or practice management system, and it does its core job. The trouble is everything around the edges:

  • Intake is still paper or a generic form. New patients fill out clipboards or a PDF that someone retypes, and a one-size form either asks too much or misses what a visit type needs.
  • Packages and memberships live in a spreadsheet. Wellness practices, PT clinics and med spas often sell prepaid visit packages or memberships. Tracking visits used, visits left and renewal dates by hand leads to disputes and missed renewals.
  • Referral sources are a mystery. Which physicians, chiropractors or local partners send you patients? Without a record, you can't thank them or notice when referrals dry up.
  • No clear view of the schedule. How many open slots are there next week? Which days have the most cancellations? The answer usually requires pulling reports and building them by hand.
  • Documents arrive by email and fax. Insurance cards and referral letters get matched to patients by hand.

What we build for healthcare and wellness practices

  1. Visit-type intake tools. Online intake that changes questions based on visit type, collects consent acknowledgements your practice provides, and outputs a structured record. Where your EHR allows it, we explore pushing the data in directly.
  2. Secure document upload portal. A single place for patients to upload insurance cards and requested documents ahead of their visit, organized by patient for staff review.
  3. Package and membership tracker. Visits purchased, visits used, expiration and renewal dates, with alerts to staff when a package is running low.
  4. Referral source tracking. A simple record of who referred each new patient and a dashboard showing referral volume by source over time.
  5. Schedule and front-desk dashboard. Open slots, cancellations and no-shows by day and provider, built on your own scheduling data so you can staff and plan accordingly.
  6. Integrations between systems. Connections between your CRM, scheduling, payments and reporting, so the same information isn't typed three times.

We don't build clinical decision tools or anything that offers medical advice. Our tools handle administrative work around care.

How it works

  1. Scope the gap. We look at what your EHR, scheduling and CRM already do, and pin down exactly what isn't covered.
  2. Design the workflow. We map the tool around how your front desk and providers actually work, and agree on what patient information it touches. Your compliance advisor should review this step.
  3. Build and deploy. We build and test against realistic scenarios from your practice, then deploy. Most focused tools take 2 to 6 weeks, depending on scope.
  4. Support and iterate. We host, monitor and update the tool, or hand off the code to your team.

RGS doesn't certify tools as HIPAA compliant or provide compliance advice. Confirm vendor agreements, such as a BAA, and hosting decisions with your compliance advisor before patient information goes into any system.

What to look for (even if you don't hire us)

  • Does your EHR vendor allow integrations? Ask them directly before scoping any build that depends on it.
  • Where will patient data live? Get the hosting provider, region and access controls in writing.
  • Which agreements are needed? Ask your compliance advisor whether the developer, host and any connected services need BAAs.
  • Who can see what? Access should match each staff role.
  • Is there an audit trail? You should be able to see who viewed or changed a record.
  • Who owns the code and data? Settle this before the first line is written.
  • What does support cost? Ask before launch.
